Property Manager
Job Summary
Responsible for the day-to-day operations of an assigned property, including supervision of four or more employees, except for California which requires supervision of five or more employees. The Property Manager will maximize the property’s net operating income and otherwise facilitate optimum performance of the property, which includes effectively leading and managing teams, leasing, collections, marketing resident services, maintenance, risk management, expense control, revenue enhancement, capital improvements, information reporting, and compliance with applicable laws and company policies.
Essential Job Duties and Responsibilities
People Management
Interview, hire, train and supervise property staff.
Resolve associate disputes in a professional and timely manner, promotes Associate retention, and controls Associate turnover.
Plan and prepare associate work schedules. Assign tasks and delegate work, monitor job progress and work flow, appraise work performance.
Implement associate performance actions such as raises, promotions, discipline, terminations, etc.
Provide leadership, mentorship and guidance to property staff with support in administering company policies and key internal processes.
Ensure all team members, including themselves; completes all required company provided training within the time requirements.
Resident Relations
Manage resident issues such as neighbor disputes, renewal terms, and maintenance repairs.
Manages supplier selection and relations, so as to ensure quality performance.
Develop, plan and implement resident retention strategies.
Communicate with supervisor and/or property owners regarding the overall function of the property.
Familiarize yourself with operational conditions in PMA.
Utilize company-endorsed national supplier partners.
Operations Delivery
Ensure approval provided or obtained for all prospective resident applications, discounts and renewal leases, and signs all leases.
Prepare, analyze, and evaluate property status reports, such as variance and occupancy reports.
Maintain organized file system for resident information and personnel records.
Perform property inspections, so as to ensure visual appeal of property and maintain hazard-free conditions.
Inspect buildings and grounds to ensure and cleanliness, and alerts Maintenance to items that need to be repaired.
Report general liability claims, workers compensation claims, and property loss claims timely and accurately.
Prepare and practice emergency plan, including evacuation, earthquake or inclement weather drills, and determines where people will go in the event of an emergency or disaster.
Collect, approve, and submit leasing and other bonuses timely and accurately.
Read, understand and operate under the terms of the Property Management Agreement. Operate community within the scope and compliance of all Company National Practices.
Marketing
Ensure the effective execution of lease renewal strategies and resident retention/resident satisfaction plans.
Maintain knowledge of market conditions and develops and implements marketing and advertising programs.
Shop competitors on a regular basis as defined by supervisor.
Ensure strategic communication with key groups to continuously identify both opportunities and issues
Ensure excellent customer service to prospective and current residents, and promotes a quality living experience at the community.
Financial Management
Prepare, execute, and monitor operating budget, ensures expense control, and maintains effective rental collections.
Maintain budgeted occupancy levels, budgeted rental rates, and other property goals.
Prepare and submit property invoices and payroll information, including commissions in accordance with established guidelines.
Manage petty cash within the scope of the Company’s National Practices.
Prepare monthly owner reports.
Company
Deliver excellent customer service during all interaction with clients, associates, peers, support groups, suppliers and residents.
Support and communicate company goals, initiatives, and programs, to keep associates informed and engaged.
Comply with all Company National Practices, applicable health and safety rules and regulations, as well as applicable local, state and federal laws.
Education and/or Experience
High school diploma or equivalent is required.
Minimum of 3 years property management experience is preferred (can include combination of leasing, assistant manager, and/or property manager experience.)
Skills/Specialized Knowledge
Ability to read and comprehend financial statements, such as profit and loss statements, general ledgers, budgets, etc.
Ability to perform moderate mathematical and accounting functions.
Comprehension of federal fair housing laws and any applicable local housing provisions.
Ability to uphold a fiduciary level of ethics and accountability.
Ability to read, write, understand, and communicate in English.
Ability to use a computer proficiently, including Microsoft Outlook, Word, Excel and Yardi or other on-site accounting software.
Ability to use general office equipment, such as telephone, scanner, fax machine, printer, copier and key track system.
